In 2020, Orbisana Healthcare decided to update its current ERP system and commissioned KUMAVISION AG and M Assist GmbH with a preliminary project to analyze the current system in order to check data quality, processes, interfaces and potential and to evaluate system expansions. In summer 2021, the update project to the KUMAVISION industry software for the healthcare market based on Microsoft Dynamics 365 Business Central finally began, which M Assist GmbH implemented with motivation.
The aim of the project was to standardize the current, highly adapted solution in order to be updatable in the future and therefore always at the cutting edge of technology. Furthermore, data quality should be improved and performance increased, existing processes optimized and new ones implemented.
During the preliminary and update project, all processes including finance, health insurance management, sales and field service, route planning, billing, technical service, quality management, regulatory affairs and supply chain management were analyzed.
“Each process was examined critically by the experts from M Assist and Orbisana Healthcare as to whether previous programming was still necessary and how the process or data could be improved. We were thus able to reduce the number of necessary adjustments by 90% compared to the old system. This was guaranteed, on the one hand, by questioning M Assist, but also by the willingness of our employees to comply with the standard,”
says Andreas Bähren, Head of IT.
In the end, it was possible to create more effective and transparent processes in many areas. Quality management and regulatory affairs can now be represented at FDA level in the ERP system, as can UDI according to EUDAMED. The trip planning was transferred from Excel to professional route planning software and linked to the ERP system. Data quality has been significantly increased and can be sustainably maintained through a jointly developed data cleansing tool.

The entire project was implemented online right up to the start. For this purpose, consultation hours were introduced in all specialist areas, and short, efficient online training courses were carried out and recorded. Both integration tests were successfully carried out via Microsoft Teams Online; M Assist was only on site for the real launch in April 2022. The success factor was that everyone involved accepted the situation and prepared every appointment optimally. All outstanding issues and functional and integration test processes to be reviewed were documented in the Redmine ticket system and processed quickly.
In addition to the industry solution from KUMAVISION AG, other M Assist solutions were also used, such as MDE, individual stacks to easily create your own tiles in the role center, the Muster16 form or the GoLive dashboard to have all relevant KPI's available from day 1.

Thanks to its collaboration with M Assist, Orbisana Healthcare also feels very well prepared for future challenges. They are already working on new digitization topics, such as the ImageLink process or the continuous improvement of processes. Hoffrichter's inquiries will also be implemented with M Assist in the future.
